We will customize our process to meet your needs. However, this is the general process we follow::


  You give us the templates for each kind of transcription reports that you may require.

You give us your voice files  by dictating to our Phonescriber system from any touch tone phone using local or our 800 numbers. In this case, you call up the telephone numbers provided to you by Scribernet, follow the voice prompts and dictate. At the end of the dictation, you have the option to review your dictation, delete the dictation and start over or dictate another document.

You give us your voice dictations by using a hand held digital dictating device to record your data, transferring the voice files to your PC by just connecting the digital recorder to your PC. and then clicking upload on your PC (which encrypts and uploads the voice files to our secure server). Before you have the option of putting a priority TAT code on the voice file, which will indicate a 24 or 48 hour TAT  or STAT. If you choose this option, the Scribernet will install a small Voicescriber program/script on your PC which will do the above. You can use both the Phonescriber and the Voicescriber input methodology.

The doctor can see the status of the files by logging on to the secure client website and observing the job queue. This serves as acknowledgment of the uploaded voice files. Jobs are downloaded from the secure Web by the transcriptionists. The routing of the document files is based on certain rules such as expected turnaround,  review by lead QA and so on. 

The transcription stations can then start to immediately retrieve the sound files, decrypt and uncompress the data and route them to different workstations for transcription. Using earphones and a foot pedal for start-stop control, transcriptionists are able to hear and control the speed of audio messages. These voice files can be transcribed with the help of a suitable word processing program / application. The out located medical transcription center then sends back these transcribed texts, after it is proofread by qualified QA personnel and encrypted, to the secure Webscriber server, the hub of the medical transcription network. Problem transcribed reports, which are highlighted by the transcriptionists, undergoes one final QA scrutiny before the transcribed reports are encrypted and then routed to the concerned doctor / hospital. When the secure client site shows a "report ready for download" status, within the client account, the reports are downloaded at the client office by the touch of a download button and automatically decrypted. The doctor reviews the transcription and has the option to do the following:

  • correct any trivial errors in the transcribed reports in the office
  • insert any words or phrases which were inaudible and left blank
  • return the transcription for further error correction to Scribernet
  • log on to the secure "client.scribernet.com" secure website and sign the transcription document as acceptable
  • Print out the accepted report in his office on his letter head.

The accepted transcribed record is then loaded into the Webscriber EPR system and the patient and author demographic information is sent to the billing system. The Scribernet transcription processing system provides a way to ensure that your provider dictated, the transcriptionist received the voice file, and that the report was typed, received and signed. This system acts as a repository (or Electronic Chart) for the completed notes, with a complete audit trail, as required by HIPAA.

The transcribed electronic patient records reports are incorporated into the Webscriber Electronic Patient Record (EPR)  system as backup and for later perusal, when needed. The EPR's can be accessed from any internet enabled PC after proper user authentication is provided in the form of an ID and password. It can also be printed out at the client site. However the electronic version cannot be changed, once it is signed off. This is required by HIPAA.
